CultureFest is a free event designed to celebrate Selwyn's growing diversity through a range of cultural performances, traditional games, crafts, interactive activities, and ethnic foods.

The theme of the event in 2024 is colour - colour of luck, celebration, or significance. The objective is for Selwyn residents to learn more about the cultures within their community, providing an opportunity for active learning. Confirmed organisations, groups or businesses that are invited to participate will be asked to provide information and history about their cultures and national colour that symbolizes luck and joy to all attendees at the event. Participants may choose to do this in a variety of ways, including displaying their national colour or providing a detailed description of the history of a performance or activity, along with details of the food's origins, etc.

There will be three main areas at the event. You are able to choose to be involved in one, two or three of these areas:
1. Stalls & Food Vendors
2. Performance stage
3. Have A Go Area

Local organisations or groups from Selwyn will be given the first opportunity to participate, although groups from outside Selwyn will be able to participate if they are active within the district.

Expressions of Interest are open until Sunday, 30th June. The event organiser will notify all successful participants by Friday, 5th July 2024.

TERMS AND CONDITIONS

a. The applicant confirms that the information provided in this registration is correct at the time of submitting.
b. The applicant understands that participation in CultureFest is not guaranteed and must wait for confirmation from the event organiser before proceeding with their CultureFest activities. The event organiser will notify all successful participants by Friday 21 June 2024.
c. All sites are 3x3m. If you require a larger area, you must book 2 sites.
d. You must provide your own equipment for the site, including tent/tables/chairs etc if required.
e. Cancellation of your stall must be made in writting at least 2 weeks before event day to avoid late cancellation fee
f. All successful applications must have at least one representative attend a compulsory Stall Holders meeting 3 weeks prior to the event, details will be forwarded on confirmation of participation. At this meeting, you will receive your site map and important event information. Confirmation of your stall site is conditional on your attendance at this meeting.
g. To demonstrate our commitment to waste minimisation, we have developed the Selwyn Event Sustainability Initiative (SESI). All confirmed participants will be sent the Event Waste Guide and request that they follow these principles. Participants may not supply polystyrene, balloons, glitter, plastic straws, chewing gum and lollipops. All single use items, including promotional flyers, should be limited.
h. Food vendors must agree to commit to the Selwyn Event Sustainability Initiative (SESI), or Composting Food Packaging at Events (CFPE) and use approved compostable packaging. Each food vendor must attend a workshop regarding SESI/CFPE approved compostable packaging if they have not previously attended one. A workshop will be made available to all food vendors to attend once they have been notified of their confirmation.
i. Stage Performers or Sports/Games/Crafts activities will be offered either a $10 per person food voucher for a Food Vendor at CultureFest 2024 if number of performers below 8 people, or a $100 koha per group of 9 people or more, to be paid after the event. These activities will not be charged a site fee and will not be able to sell or fundraise for any products or services during the event.
j. CultureFest will go ahead regardless of weather, unless it is considered there is a risk to safety. If CultureFest is cancelled due to bad weather, a natural disaster, or any incident that compromises the safety of the public, the Event Organiser will try its best to inform all stakeholders ahead of time or at the earliest convenience.
l. Your confirmation represents a single trading entity. You are not permitted to have another group/business/individual selling or trading under your confirmation or at your stall. This rule will be strictly monitored. Flouting this rule will result in us cancelling your confirmation.
m. All Stall Holders are to confirm that they have a detailed Health and Safety Event Management Plan. All stalls that operate hazardous equipment i.e. gas cookers & BBQ’s, must have a safety plan in place
n. Any stall selling food is subject to the Food Act 2014.
