Subscriptions & Finance Administrator job description
Location, hours and wages
This is an office based role in Manchester. Ethical Consumer currently has 22 worker members on equal pay, and a similar number of associates, contractors and volunteers. We support flexible working, with hours agreed which accommodate the whole co-op and subgroup meetings required in the role. The full team meets every Tuesday at 11.30am. Attendance is compulsory for annual strategy days in the summer and a political strategy day in winter.


Co-operative Responsibilities
New staff are required to work a probationary period of nine months, before they can become permanent staff and full members. Due to the length of training and the nature of this role, we are looking for someone interested in working with Ethical Consumer medium to long term.

All members share the responsibilities of running the co-operative, including taking part in the decision-making process and joining relevant subgroups to help manage eg subscriptions, finance, personnel, consultancy or marketing. Subgroup work is core to many members' roles.

The new Administrator will be a part of the Subscriptions and Finance subgroups, which manage a range of tasks and will provide training. The role may include for example:
Subscriptions
:
*Keep subscriber records and payments up to date.
*Process new and renewed subscriptions and email queries.
*Weekly post office mailout for new subscribers.
*Assist with managing Direct Debit payments.
*Participate in 'Subs and Renewals' group meetings.
*Help produce monthly subs reports for the rest of the co-op.
Finance:
*Participate in 'Finance' group meetings.
*Support monthly payroll processes including monitoring overtime.
*Support quarterly report preparation.
*Support checking VAT/OSS returns.
*Support financial forecasting.
*Process investor member payments and issue share certificates.
*Create invoices.
*Process international payments.

Person specification
Essential Qualities
* Experience of administration in an office environment
* Experience of a customer facing role and a friendly manner
* IT skills including database and spreadsheet management
* Numerical skills and attention to detail
* Ability to write clear and concise English and condense complex information
* Commitment to the co-operative way of working, good interpersonal communication skills, and ability to contribute to a co-operative decision-making process
* Awareness of and an interest in ethical consumption, eg environment, human rights, animal welfare or politics in relation to corporations
