What is HEDNA
HEDNA is the leading global forum to advance hospitality distribution through collaboration, knowledge sharing and networking.

About the Event
HEDNA events are created to reinforce our vision of being the single, global voice navigating the complexity of hotel distribution. Our conferences offer curated content and networking avenues in a variety of formats over the course of three days.

Content Submission
All content is thoroughly vetted and must be approved by HEDNA’s Conference Committee and/or Board of Directors. Content should be educational and informational in nature. Sales presentations will not be included in submission to the Board for approval. Conference speakers are not eligible for payment/honorarium.

Proposals will be evaluated on importance, relevance and the overall quality/detail of the submission. HEDNA reserves the right to reject proposals for any reason, including but not limited to: space and time restrictions, poor quality or lack of detail, timeliness, importance, duplication of content, and/or relevance.

Special consideration will be given to the following topics:
  • Artificial Intelligence
  • Marketing
  • Loyalty
Submissions from HEDNA disciplines are especially encouraged.

Audio/visual
Main stage presenters will have the following equipment: projection of slides or video, microphone, confidence monitor, and timer. Presentation specs:
  • PowerPoint format
  • Slides/presentations should use dark words on a light background so as to be seen in any lighting
  • Avoid text heavy slides
  • Avoid graphs and metrics (these are nearly impossible to be read from the audience)
  • Any words and/or images should be large enough to be seen from the back of the room
IMPORTANT DEADLINES, TERMS AND CONDITIONS

The deadline to submit a proposal is October 1, 2024. If your proposal is accepted for consideration, you will receive written confirmation of next steps. Proposals should not be considered confirmed until a speaker agreement has originated from HEDNA.

DEADLINES:

October 1 – Call for content closes

October 15 – Notifications sent to submitters
*October 31 – Deadline for all session speakers to be registered.
All speakers must be registered for the conference. Please note that an invitation to speak at HEDNA does not automatically include the cost of registration, and HEDNA does not offer any stipends, honorariums or payments for participation.
October 31 – Speaker agreement deadline.
All speakers must complete and submit this agreement in order to participate. Speakers who do not complete the agreement by the deadline will be removed from the program and replaced with another speaker.
January 24 – Deadline to submit PowerPoint
(if applicable). No presentations will be accepted after the deadline, including onsite.

*If speakers are not registered by the deadline, your session will be removed from the program and your session slot will be replaced with another proposal.

TERMS AND CONDITIONS:

  • As outlined above, all speakers in your session must be registered for the conference within two weeks of receiving notice of your acceptance. If speakers are not registered within two weeks, your slot in the program will be forfeited and replaced with another session.
  • Speakers who do not submit a speaker agreement will be removed from the program and not allowed to take the stage.
  • In the event one of your speakers must cancel their attendance, they MAY NOT delegate someone to speak on their behalf. They may SUGGEST a stand-in speaker, but HEDNA reserves the right to make final decisions on replacement speakers.
  • Speakers who withdraw within one week of the conference will not be replaced.
  • Multi-speaker sessions (e.g. panels, fireside chats, etc.) MUST consist of at least one hotelier. As a general rule, panel submissions are not eligible for complimentary speaker registration.
  • Product demonstrations and single company presentations will not be accepted.
  • Fireside chats and panels must include the name, company and role of all proposed speakers. Incomplete speaker rosters will not be accepted.
  • HEDNA will not procure panelists on behalf of any submission.
  • Panels should not exceed four total participants (including moderator).
  • Session lengths should not exceed 30 minutes.
