Call for Food Truck Vendors

Calling all Food Trucks! Food Truck Vendors: you are invited to apply for the Annual WinterFest Lights Parade and Opening Ceremony! Food trucks will participate on Saturday, November 23.

THE EVENT

On Saturday November 23, 2024, the City of El Paso will host its Annual WinterFest Lights Parade and Opening Ceremony. The Scherr Legate WinterFest Lights Parade and Opening Ceremony has become a signature El Paso event, providing an opportunity for the community to enjoy the holiday spirit downtown, with an exciting parade, live music, local food & art vendors. In 2023 alone, the Opening Ceremony event was visited by over 65,000 people!

Food Truck Vending opportunities this year are Saturday, November 23.

Hours of Operation:
Saturday, November 23 from 2 PM – 11 PM


APPLICATION DEADLINE:

  • Applications must be received by 10:00 AM Friday, September 13.
  • All applications must be submitted online.
  • No paper applications will be accepted.
  • Incomplete or late applications will not be considered.
  • Accepted Food Truck Vendors will be notified by October 19, and charged the fee for their space (for more information, see below).
  • Vendors will be responsible for bringing all operational equipment and supplies.
  • Due to the high volume of applications and limited space a selection panel will be in charge of reviewing all applications.
  • Submission of an application does not guarantee acceptance.

  • $500.00 The Market Food Truck Vendor Rate
PLEASE NOTE: Participation in Thes Market does NOT guarantee acceptance to Winterfest Programming. Previous participation at Winterfest Lights Parade does not guarantee a space at this year's event.

· Winterfest Lights Parade Committee reserve the right to curate selected applicants for diversification of items.


VENDOR FEE PAYMENT:
  • If selected, vendor fees are due in full by November 9 by 5 PM.
  • Credit cards (Visa, Mastercard, Discover) are accepted forms of payment.
  • Credit card payment will be taken over the phone Monday through Thursday, from 10 AM - 5 PM.
  • In the event that spaces become available, alternate vendors will be notified and will have 72 hours to submit payment.
  • Failure to provide payment in full and completed Vendor Agreement by the deadline will result in forfeiture of the space which will then be offered up to an alternate.

SELECTION CRITERIA

In order to ensure diversity in cuisine, pricing, and menus, the Scherr Legate WinterFest Lights Parade Committee will review all applications and select participants.

  • Only Food Trucks with proper permitting will be allowed to participate in the Food Truck Line Up.
  • Food Truck vendors must provide copies of all current appropriate mobile food permits, licensing, Food Handlers, and Insurance documentation.
  • Commercial Insurance is required to cover General Liability of at least $1,000,000 per occurrence and $2,000,000 general aggregate.
  • Food prep out of pop up tents is strictly prohibited.
  • Vendors must visibly display all permits.
  • Food vendors who submitted all appropriate documentation and were not selected will be placed on an Alternate List and contacted in the event of a cancellation.
  • Food trucks do not need to add us as an "additionally insured" person in their insurance until approved for the event.

VENDING GUIDELINES and EVENT LOGISTICS
  • Participating Food Truck Vendors should plan for their truck to remain on the event footprint Friday, Saturday and Sunday. Food Trucks will not be permitted to exit or re-enter the footprint due to the event layout and limited entrance/exit space.
  • Vendors must bring their own supplies and equipment (food, vehicles, food supplies, stoves, grills, electricity, water, ice, as appropriate). Access to electricity is NOT included.
  • All participants are responsible for their own cleanup.
  • All trucks and trailers are required to unhitch so as to ensure maximum capacity of the Food Court space. On-site parking is prohibited.
  • Although event security will be on-site during the event, vendors are responsible for assigning an individual to remain within the truck during operational hours.
  • Patio furniture is NOT allowed. Designated sitting areas will be provided by the event organizers.
  • Spaces will be assigned by the Vendor Coordinator. Assignments are final; vendors may NOT reassign themselves. -----Food Trucks may trade spaces with a neighbor, with both parties and coordinator in agreeance.
  • Vendor permits must be displayed at all times. Vendors without these permits will be asked to leave immediately.
  • Failure to be ready for business on time and maintain full operations throughout the event may result in future ineligibility to participate.
  • All Food Truck Vendors should be fully staffed and prepared to provide service in a timely manner. Excessive delays or long lines may also affect future participation eligibility.
  • Please be advised WinterFest attracted over 65,000 in 2023. It is imperative that all selected food truck vendors be prepared to provide full menu operations throughout the entire event.
