WIPCE 2025 Stallholder criteria

To be considered as a stallholder you must:
  • Be Indigenous owned.
  • Demonstrate cultural authenticity. Stallholders should provide information about the cultural significance of their offerings.
  • Provide eco-friendly packaging and products: Preference will be given to stallholders who prioritise sustainability, using environmentally friendly packaging and materials.
  • Not sell products made from endangered species or materials considered culturally inappropriate.
  • Not be or promote competing brands of official WIPCE 2025 Sponsor.
  • Not on-sell or share their site with another organisation without prior agreement from WIPCE 2025.
  • Agree that WIPCE 2025 reserves the right to decline any application.
Successful stallholders must be available:
  • Pack in: Sunday 16 November 2025
  • Event days: Monday 17 November 2025 - Thursday 20 November 2025
  • Village trading times (open to public): 11.00am – 7.00pm (Monday & Wednesday) | 11.00am - 9.00pm (Tuesday & Thursday).
  • Compulsory WIPCE 2025 Stallholder pre-event meeting date and time tbc.
Stallholder sites are limited and are subject to availability.

WIPCE 2025 Stallholder application process


Stage 1: Application | 03 March 2025 - 1 May 2025
  • Open to the public, stallholders are invited to submit an application to be a WIPCE 2025 Stallholder.
  • Applicants must complete the online form and provide all the required information to be eligible.
  • Completing the application DOES NOT guarantee you a spot as a WIPCE 2025 Stallholder.

Stage 2: Vetting | 1 May 2025 - 12 May 2025
  • All applications will be vetted.
  • Final selections will be based on the WIPCE 2025 Stallholder criteria and diversity of product.

Stage 3: Stallholder Invitations | 12 May 2025 onwards
Successful applicants will receive a formal invitation to be a WIPCE 2025 Stallholder.
  • A signed stallholder agreement must be returned by June 9, 2025.
  • An invoice will be issued and only upon receipt of payment, a WIPCE 2025 Stallholder site is confirmed.
  • All successful applicants will be required to attend our compulsory WIPCE 2025 Stallholder information evening.

Participation in the stallholder application stages DOES NOT guarantee a WIPCE 2025 Stallholder site. Only upon the receipt of the signed stallholder agreement and stallholder payment will stallholders be guaranteed their participation.

1 Stallholder application open. 03 March 2025
2 Stallholder application close. 01 May 2025
3 WIPCE 2025 stallholder invitations sent to shortlisted applicants. 12 May 2025
4 Deadline for returning stallholder agreement. 09 June 2025
5 Stallholder invoice issued. 13 June 2025
6 Deadline for payment of stallholder fees. 27 June 2025
7 Stallholder pre-event meeting. TBC
8 WIPCE 2025 conference 17 November 2025 - 20 November 2025
